Cancellation Policies

For Bookings made via the Site and Services where the Host has not attached its own terms and conditions to the Listing of the Booking or to a Bespoke Package Booking then the three options set out below are available for the Host to select as their cancellation policy. If The Host does not attach its own terms and conditions to each of its Space Listings then it must at the time of listing its Spaces choose from one of the cancellation policies (Flexible, Moderate and Strict). In this instance HeadBox will apply the chosen cancellation policy in the event that a cancellation occurs by the Guest.

One of the following three cancellation policies will apply as stipulated by the Host on their listing if a Guest cancels a confirmed booking:

  1. Flexible: 50% refund 5 days prior to the Space Experience

    • In the event of a cancellation more than 5 days before the date the Hire Period is to begin then 50% of the Space Fees will be refunded to the Guest.

    • In the event of cancellation less than 5 days before the date the Hire Period is to begin then the Space Fees paid by the Guest are non-refundable.

    • The HeadBox Host Fees are non-refundable.

    • Applicable taxes will be retained and remitted.

    • HeadBox will encourage both parties to find an amicable solution within 7 days of a complaint being made and when necessary will also mediate. HeadBox has the final say in all disputes.

  2. Moderate: 50% refund 14 days prior to the Space Experience.

    • In the event of a cancellation more than 14 days before the Hire Period is to begin then 50% of the Space Fees will be refunded to the Guest.

    • In the event of cancellation less than 14 days before the Hire Period is to begin then the Space Fees paid by the Guest are non-refundable.

    • The HeadBox Host Fees are non-refundable.

    • Applicable taxes will be retained and remitted.

  3. Strict: No refund applies once the Booking is confirmed by the Host

    • In the event of cancellation the Space Fees paid by the Guest are non-refundable.

    • The HeadBox Host Fees are non-refundable.

Where a Host has attached its own terms and conditions to the Listing of the Booking or to a Bespoke Package Booking then the cancellation policy as set out in those terms and conditions will apply to that Booking.

For all Bookings made via the Site and Services by HeadBox Business Customers using payment via invoice then a Strict Cancellation Policy will be applied as per the HeadBox Business Terms and Conditions irrespective of any terms and conditions agreed between the Host and Guest as part of a Booking or Bespoke Package Booking.

Part cancellations or booking amendments will be treated in the same way as a full cancellation.

The Processing Fees and Host Fees are non-refundable regardless of the Cancellation Policy or cancellation policy attributable to a Booking or Bespoke Package Booking.

In the unlikely event a Host decides to cancel a Booking or a Bespoke Package Booking then please see our Guest Refund Policy and also HeadBox Business Terms & Conditions. In such cases HeadBox reserves the right to charge any additional Processing Fees incurred by the Guest and also a penalty charge as stipulated in our Terms & Conditions.
