The problem

A landmark venue that needs to be experienced, not just described

Housed in the former Old War Office on Whitehall — a building with connections to Winston Churchill, Ian Fleming, and the founding of MI5 and MI6 — Raffles London at The OWO is not a venue that lends itself to a quick summary. Following an eight-year transformation, the property now offers 120 rooms and suites, nine restaurants, three bars, and over 13,850 sq ft of event space, anchored by the grand 678 sq m Whitehall Ballroom with its seven-metre double-height ceilings.

For corporate planners considering the venue for gala dinners, high-level meetings, or large-scale conferences, the scale and character of each space — from the Lawrence Foyer to the intimate Morse and Code rooms — is central to the decision. But with an international client base and time-pressed bookers, getting the right people through the door for an in-person viewing isn't always straightforward.

The solution

Bringing the building to clients, before they arrive

Raffles London at The OWO partnered with HeadBox to add 3D Tours to their listings, giving prospective clients an immersive way to explore the venue's spaces remotely. Rather than relying on photography to communicate the scale of the Whitehall Ballroom or the atmosphere of the Lawrence Foyer, planners can now move through the spaces virtually — getting a meaningful sense of the layout, proportions, and detail before any conversation about logistics or pricing begins.

For the groups sales team, the tours have become a practical tool for keeping early-stage dialogue moving with clients who can't easily come in person.

The results

Conversations that progress, without waiting on a diary

Since introducing HeadBox 3D Tours, the Raffles London at The OWO team has found them particularly effective with international and remote clients — exactly the audience for whom a Whitehall site visit isn't always feasible.

"We've found the HeadBox 360 tours to be a really helpful tool, particularly for clients who aren't able to visit in person. It gives a great sense of the spaces and helps move conversations along much more easily in the early stages. Definitely a great addition to how we showcase the rooms and event spaces at Raffles London!"

For a venue where the space itself is such a significant part of the proposition, the ability to convey that remotely — and early in the process — has made a tangible difference to how quickly enquiries convert.
