HeadBox Reward & Referral Policy

Definitions

"Booking" means the completion of a booking for a Space between a Host and a Member on the HeadBox Platform or through the HeadBox Concierge Service.

"HeadBox Rewards" means the HeadBox Membership & Rewards Scheme.

"HeadBox Rewards Account" means an account showing the balance of HeadBox Rewards standing to the credit of a Member.

"HeadBox Platform" means the HeadBox website at www.HeadBox.com or the HeadBox Concierge Service.

"HeadBox Rewards Account" means an account showing the balance of HeadBox Rewards standing to the credit of a Member.

"HeadBox Terms and Condtions" means the terms and conditions as amended from time to time governing membership and use of the HeadBox Platform.

"Member" means a person who has created an account or completed a Booking on the HeadBox Platform or through the HeadBox Concierge Service.

"Rewards" means the non-cash rewards that are granted from to time by HeadBox to the Member as a result of a Booking or Referral.

"Referral" means the introduction by a Member of another person who makes a Booking on the HeadBox Platform.

"Rewards Partners" means the HeadBox approved third party national retailers.

"Space(s)" shall mean spaces that are listed on the HeadBox Platform.

The customer loyalty program, "HeadBox Rewards" rewards your loyalty as a customer and your help in referring friends and colleagues who then sign up to the HeadBox Platform and make a Booking. HeadBox Rewards offer Members the opportunity to earn rewards and to redeem rewards via the HeadBox platform to be used at Rewards Partners. The operator and publisher of HeadBox Rewards is HeadBox Solutions Limited ("HeadBox").

A number of conditions apply for collecting and redeeming rewards and the general implementation of HeadBox Rewards, which we have summarized for you below.

  1. Participation

    1. Eligibility

      HeadBox Rewards membership is available to both corporate Members and individual Members although Rewards can only be credited to one HeadBox Rewards Account. HeadBox Rewards can only be credited to an account once a Member has completed at least one Booking on the HeadBox Platform. Rewards are also offered to Members who refer friends and colleagues who subsequently sign up and complete a Booking on the HeadBox Platform (See Clause 2.3.2 below).

      A legal claim to participation in HeadBox Rewards does not exist.

      HeadBox has the right not to credit an account with HeadBox Rewards.

    2. Rewards Activation

      A Member is automatically eligible to receive Rewards once they complete a booking on the HeadBox Platform

  2. Rewards

    1. General information

      The basis of calculation of Rewards is defined by reference to the value of the Bookings and Referrals made on the HeadBox Platform and will vary from time to time depending on the promotional rate applicable to the Booking or Referral value. Full details are available on the HeadBox Platform and also below:

      • Transaction Rewards: 100 HeadBox Rewards is worth £5.00*. Collect 100 to 2,000 Rewards (depending on the value of the booking) every time a Member books a venue via the HeadBox Platform.

      • Referral Rewards: Refer potential Members to the HeadBox Platform and receive 100 Rewards (worth £5.00) per each Member who has made a booking on the HeadBox Platform.

      • *100 Rewards will be convertible into vouchers from our Rewards Partners at the rate of £0.05 per Reward.

      Notwithstanding this the Rewards are of no material economic value, cannot be redeemed for cash and may only be redeemed via HeadBox for vouchers that can be used with HeadBox Spaces and Partners in accordance with these Terms and Conditions and their terms as published from time to time. Rewards are credited to the Members HeadBox Rewards Account on the HeadBox Platform. The Member is solely responsible for claiming the Rewards for their own HeadBox Rewards Account and HeadBox will not entertain any subsequent claim for the Rewards to be reallocated. Rewards can be used only via HeadBox for the purposes expressly specified by our Partners or as otherwise communicated by HeadBox.

    2. Types of Rewards

      HeadBox reserves the right to establish different types of Rewards which a Member can earn in order to run promotions and also to distinguish between levels of HeadBox Rewards membership on the basis of the volume of Bookings; the value of the Bookings made by a Member in any given period or the number of Referrals a HeadBox Member has made. Any status variations will be based on the Rewards earned by a Member during a calendar year and will be published on the HeadBox Platform.

    3. Transferability of Rewards

      HeadBox Rewards cannot be transferred to a third party. The sale, exchange, offers for auction or any other transfer of Rewards to a third party is prohibited. Also prohibited are negotiations for the purchase or sale of Rewards and the purchase of Rewards from participants or a third party, as well as the unauthorized use of Rewards.

    4. Account balance

      Members can check their current Rewards balance via their HeadBox Rewards Account on the Headbox Platform. In addition, Members shall receive information on the HeadBox Rewards Program, including their Rewards Account balance via regular emails from HeadBox (HeadBox Rewards Members agree to receive communication from HeadBox about HeadBox Rewards as part of accepting these Terms and Conditions).

    5. Earning Rewards

      1. General provisions for earning Rewards


        Members can start earning Rewards after they complete their first booking on the HeadBox Platform. . Rewards can only be credited to the Member's individual Rewards Account for Bookings and Referrals the HeadBox Member has made via the HeadBox Platform and only one Member will be allowed to receive Rewards for each Booking and/or Referral. The billing recipient is irrelevant. The type and number of Rewards credited depends on the specific Program applicable at the time of the Booking or the Referral.

      2. Other ways to earn Rewards

        Members can also earn Rewards by referring other friends or colleagues who sign up to HeadBox and complete their first Booking on the HeadBox platform. A minimum of 100 Rewards will be credited to a Member for a Referral when the party referred makes his/her first Booking on the HeadBox Platform. Other temporary or permanent ways to earn HeadBox Rewards and their Terms & Conditions will be announced on the HeadBox Platform and by publishing updated versions of these Terms & Conditions.

      3. Bribery Act compliance

        Members who are employees must ensure that their employer has given permission for their participation in HeadBox Rewards and that they have complied in all ways and all times with the terms of any Employers Bribery Act Policy, which their employer operates and that they have permission to use any HeadBox Rewards personally. If a Member is unclear about this he/she should seek advice and clarification from their Employer before signing up for the HeadBox Rewards.

    6. Redeeming Rewards

      1. General provisions for redeeming Rewards


        Members may redeem their Rewards as soon as their Rewards Account has a sufficient balance to enable them to convert to a voucher issued by HeadBox on behalf of its Rewards Spaces and Partners. Details of these Spaces or Partners are available on the HeadBox Platform from time to time.

      2. Other Rewards

        HeadBox may from time to time announce other Rewards. Their conditions and additional possible uses of Rewards will be available on the HeadBox Platform. Discounts and special promotional offers and their conditions will be available to Members on the HeadBox Platform; updated versions of these Terms and Conditions or made available via email communication.

      3. Misuse

        Members will be deemed to have misused the Rewards scheme if they are found to be in breach of these Terms & Conditions.

      4. Consequences of misuse

        In the event of misuse for which the Member is responsible, HeadBox or its Partners retain the right to terminate or withdraw any Rewards or to refuse to issue a Reward or to refuse to accept the redemption of any Rewards or to cancel or suspend the Membership Card with immediate effect. The right to terminate in accordance with Section 3 and the right to assert further claims against the Member, including claims for damages, remain unaffected.

    7. Expiration of Rewards

      Any Rewards must be redeemed within 3 months of the end of the calendar year in which they were earned. Any Rewards that are not redeemed by the 31st of March of the year following the calendar year in which they were earned will lapse automatically. The conversion and payment of Rewards into cash is not possible.

  3. Breach of Terms & Conditions, Account Blocking & Contract Termination

    1. Termination, blocking, exclusion from participation in HeadBox Rewards

      1. Proper termination

        The Member and HeadBox may terminate this contractual relationship in writing at any time without notice. Where the Member is in breach of these Terms & Conditions then HeadBox can terminate with immediate effect.

      2. Blocking and exclusion from Membership

        Where there has been misuse by a Member or a breach of these Terms & Conditions HeadBox has the right to block, suspend or terminate the Member's Account.

        HeadBox has the right to block, suspend or terminate a Member's Account if HeadBox deems that a Member does not satisfy any of the HeadBox Terms & Conditions.

    2. Rewards validity in the event of termination


      1. In the event of termination

        In the event of termination by the Member or by HeadBox where there has been no breach of these Terms or misuse the Rewards shall remain valid for a period of 3 months.

      2. In the event of termination for breach or misuse

        In the event of termination by HeadBox as a result of a Member’s breach of these Terms or misuse then the Member’s Rewards shall be extinguished with immediate effect.

      3. Program termination

        HeadBox reserves the right to discontinue the HeadBox Rewards program at any time and to terminate the Membership contracts in accordance with clause 3.1.1. In such case clause 3.2.1 shall apply accordingly to such terminations.

  4. Other

    1. Liability

      HeadBox accepts no Liability in respect of Members in relation to the redemption of any Rewards with the HeadBox Spaces & Partners.

    2. Privacy Policy


      Personal data in relation to HeadBox Rewards Membership will be processed and used by HeadBox for purposes that serve the implementation of the program and operation of the program.
 HeadBox shall comply with the terms of the Data Protection Act.

    3. Modifications to HeadBox Rewards or the Terms & Conditions

      HeadBox reserves the right to make any changes or additions to the Terms & Conditions, the Rewards, or other processes described in the HeadBox Rewards program.

    4. Law, place of jurisdiction

      This agreement is governed by the Laws of England and Wales and the Courts of England and Wales shall have exclusive jurisdiction to determine any dispute.
