Your guide to London’s best venues
Whatever venue you’re looking for, whatever vibe you may be after, chances are: London has it. The capital is an ever-changing, never sleeping behemoth that offers something to everyone. The sheer volume of bars, clubs, meeting rooms, pubs, halls and restaurants can make searching for the perfect space feel like a labyrinthian task. Luckily for you, HeadBox has accrued a wealth of knowledge when it comes to finding and booking a venue that will make your event unforgettable.
Decide on your London event type
This is the vital first step in booking your London venue is to work out what kind of event you’re looking to put on. Venues can often accommodate a real variety of roles: some restaurants will happily cater to both all-night birthday parties and daytime corporate meetings. Setting out the type of occasion is important as it qualifies out the wrong venues (baby shower at an axe-throwing bar, anyone?) and lets the right ones know what you’re after.
If you know exactly what kind of party or space hire you are after in London then even better. At HeadBox we encourage you to let us know everything you need to make your dream event come true - Karaoke bar local to you? Natural light? Breakout rooms with coffee that doesn’t taste like dirt? We can make it happen.
North, East, South or West?
London is a sprawling city and looking for the perfect venue can often feel overwhelming. Though most areas can accommodate every type of meeting or party, it’s good to bear in mind the character of each borough and the spaces that are common. For grandiose, historic and well-connected spaces it’s best to look in The City itself - it can often be more expensive, but the stunning range of venues won’t fail to impress. For Iconic London aesthetics, you can’t go wrong with the classic West-End haunts - try sipping a drink watching the crowds from a Covent Garden bar or relax amongst the Georgian facades of Mayfair.
Top Tip: For edgier, more versatile spaces you’d be better checking out the South and East boroughs. The old industrial areas of London’s east-end offer plenty of opportunity for hosting all kinds of events surrounded by victorian steel rafters and raw brickwork.
Know your event budget
There are London venues for any and every event budget. From hiring a small, local hall to booking out the Sky Garden, it’s vital to establish a spending limit before you approach a venue. There are two ways of establishing a budget. The first is to work out a price per person: this is often best for private dining and cocktail parties as you can control how the overall cost breaks down to an individual level. The alternative is to hire the space, either by the hour or day – meeting rooms and non-catered venues will often charge this (sometimes referred to as a ‘dry-hire - a flat fee that does not include extras such as drinks and food).
Get familiar with the space
This is especially true for any large scale events you might be putting on (think conferences, banquets and MTV sweet 16’s). To throw a really successful big event you’ll want to make sure that you’ve thought through the logistics of the floor plan. Traditionally this would be done through a site visit - an informal tour of the venue where you can walk through the event space and make sure every detail is in place for the ultimate London party.
This, however, isn’t always possible – for those outside London, or with limited time, devoting a whole day to a site visit just isn’t an option. Thankfully technology is here to lend a hand. Lots of London venues now offer a 3D virtual tour of their premises. From the comfort of your home, you can virtually tour the event space and view a range of different setups, allowing you to visualise your own event without losing a whole day.
There really is no one answer to this question: so many variables come into play when understanding the cost of venue hire in London. Do you want catering? How many guests are you planning for? Is the venue for the day, the night or a weekend? The good news is that you can find a venue for pretty much any budget (okay, almost any budget). Instead of letting the venue take the initiative, our advice is to be proactive and set a budget that you feel comfortable with – this way the right venues will reach out to you.
For London venues to host a party in you are spoilt for choice. Most pubs, bars and restaurants will be happy to hire out their space for your private event. Similarly, more generalised event spaces (clubs, function rooms, etc.) will cater to parties, though it’s worth enquiring about their license if you are planning on providing alcohol. Meeting rooms and conferences, on the other hand, may not be too keen on hosting a party – they often pivot towards corporate clients and might not be too keen on having a hen party celebrating next to a big company meeting.
London venues often have direct phone numbers or email addresses listed on their website. That said, super-busy periods might see the venue struggle to get back to you in time.
